It is our firm’s policy to restrict access to all the information we have about you to only those employees who have a need to know that information so as to provide the contractually agreed upon escrow services to you.
What Type of Information Do We Collect About You?
Generally, in the purchase, sale or refinancing of real estate, we obtain non-public information from a number of different sources including, but not limited to, real estate agents, lenders, financial institutions, insurance agents, title insurance companies, home warranty and inspection firms. Nonpublic information is that information that cannot be obtained from public records.
What Type of Information Do We Disclose About You?
When authorized by you, we will disclose the needed non-public information only to those parties and companies that require the information to complete a service contractually agreed upon with us or the other party in a manner that satisfies all the required conditions of your purchase, sale or refinance escrow.
Various government agencies by law also require us to maintain and notify them of the monetary aspects of your transaction. This information is reported on forms designated by the respective government agency with a copy provided to you at the time the information is released to the agency.
Where Are Your Records and Information Stored?
We routinely store records in an offsite secure location for a period of up to five years. At such time, as the records are destroyed that service is provided by a bonded security company licensed to dispose of business records in an approved manner wherein the records’ privacy is maintained. This applies to both printed and electronic records.
Authorization For Release of Information
We hereby authorize you to release required information to others as indicated above and also understand that our information is in no way marketed to another firm or company for any purpose by your firm. This authorization shall remain in effect until the close of escrow, unless otherwise revoked by the parties hereto.
